Excel to Revit with AI: apply a client's room list to the model

A client sends an Excel list of room names, departments and finishes, and someone has to type it into Revit. Here an AI assistant docked inside Revit does it: it reads the file, writes the values to the rooms, reads them back to check, and colours the plan by department.

Why this job is worth handing over

Moving a spreadsheet into a model is simple, and easy to get wrong:

  • Matching: every row has to land on the right room, usually by its number.
  • Typing: names, departments and finishes, one parameter at a time.
  • Checking: a typo or a skipped row only shows up later, on a sheet or in a schedule.

The usual answers are a Dynamo graph or a dedicated add-in. An assistant inside Revit needs neither: you attach the file and say what goes where.

Pilot Chat: an AI panel inside Revit

  • Inside Revit: it opens from the AEC Pilot ribbon and docks like any other panel, next to the open model.
  • Your model, your key: Claude, ChatGPT, Gemini or DeepSeek with your own API key, stored encrypted on your PC. Gemini has a free tier.
  • Files: attach Excel, CSV, Word, PDF or an image to the message.
  • Quick Prompts and projects: save a request you repeat, with blanks to fill in, and keep each job's chats together with its own memory.
  • Cost in view: a spend meter with a daily limit, and a switch to the free model.

A worked example: 18 rooms from a client's list

The model is Autodesk's Snowdon Towers sample in Revit 2027. The client list is made up for the demo: a new name, a department and a floor finish for each of the 18 rooms on Level 3. The file is attached to one request:

“Apply this list to the rooms by room number. Then open the Level 3 plan and colour the rooms by department, with a legend.”

  • It matched each row to its room and wrote the name, department and floor finish.
  • It read the values back from the model: 18 of 18 correct. We checked them in Revit too.
  • It coloured the Level 3 plan with a “Department” colour scheme and placed a legend.
  • It noticed that 10 of the rooms sit in a design option, and coloured the views that show them too.

With DeepSeek, the whole chat cost $0.08 on the panel's meter and took about four and a half minutes. Each change is a normal Revit change in the open model, so it can be undone like any other.

What to check before you run it

  • A shared key. The list and the model need one column that matches, such as the room number, written the same way in both.
  • Parameters that exist. Say which column goes to which parameter if the names differ, and create a missing parameter first or ask the assistant to.
  • The read-back. Ask it to read the values back from the model and count them, as in the example, and look at the plan yourself.
  • Code, if it writes any. In Settings you can require your approval before custom code runs.

Setting it up

  • Revit 2023 to 2027, set up by the AEC Pilot installer; free for 14 days.
  • Open Pilot Chat from the AEC Pilot ribbon, pick a provider and paste your API key once. Gemini's key is free.
  • Prefer the assistant you already use? Claude, ChatGPT / Codex and Cursor connect to the same model over MCP.

Requests to try

  • “Apply the attached list to the rooms by number and tell me which rows did not match.”
  • “Read the department of every room on Level 3 back and count them.”
  • “Colour the rooms on this plan by department and add a legend.”
  • “Fill the doors' Fire Rating from the attached CSV, matching by Mark.”
  • “List the rooms without a floor finish.”
  • “Export the room list with names, departments and areas to Excel.”

Frequently asked questions

Can AI import Excel data into Revit?

Yes, with AEC Pilot. Attach the file in Pilot Chat inside Revit and say which column goes to which parameter; the assistant writes the values to the matching elements and can read them back to check.

Do I need Dynamo?

No. The request is written in plain language in the chat; there is no graph to build.

Which AI models can I use inside Revit?

Claude, ChatGPT, Gemini or DeepSeek, with your own API key. Gemini has a free tier, and AEC Pilot adds no AI fee.

Which file types can I attach?

Excel (.xlsx), CSV, Word (.docx), PDF, plain text and images.

Does my model leave my PC?

No. The model stays in Revit on your machine and is never uploaded to AEC Pilot. The AI provider you choose sees your messages and the answers it needs to do the job.

Which Revit versions are supported?

Revit 2023 to 2027. Revit LT does not load add-ins.
